Help center/For event organizers/For hosts: get started in 5 minutes

For hosts: get started in 5 minutes

Instructions for a check-in host: how to open the scanner in the AOA Telegram bot before the event, what the green and red screens mean and what to do about the line.

What you've been given

You've been added as a host for an event. That means one thing: you're at the door letting guests in. You don't have access to finances or event editing, and you don't need it.

The AOA Telegram bot is in Ukrainian, so the button names below are given in English with the label you'll see in the bot.

Before the event

  1. Open the AOA Telegram bot and tap "⚙️ Manage" («⚙️ Керування»). If you have only one event, the bot will show it right away, without extra menus.
  2. Tap "✅ Check-in": the scanner opens right in Telegram.
  3. Allow camera access. Just once: you won't be asked again.
  4. Check that you can see the guest list and the "Checked in" counter («Пройшли»).

Don't wait for the event to start to check this. If you don't have access, message the organizer in advance, not five minutes before the doors open.

At the door

Hold your phone with the camera facing the guest's QR. Then:

  • Green, with a vibration: all good, let them in.
  • Red: read the error message, it's specific. The most common cases are in For hosts: when a QR won't scan.
  • A guest without a QR: find them by name in the list and confirm manually.

Two scanner modes

  • Standard: after a scan, the guest's card opens and you confirm. Slower, but you see who you're letting in.
  • Express: the ticket is counted on its own and the camera keeps going. For a flow of 100+ guests.

You switch the mode in the scanner settings (the icon at the top). If you're not sure, keep it on standard.

The line is growing

Don't try to "push it through" by scanning faster. Tell the organizer: their analytics show the flow rate, and if one person has more than 6 guests a minute, you need another entry point, not faster hands.
