For hosts: working through the Telegram bot
How a host works through the AOA Telegram bot: the Manage menu, the ticket scanner, a quick-registration QR for guests without a ticket and what to do when the internet drops.
Why a bot if there's a website
The bot is the same website, just without signing in through a browser: Telegram signs you in by itself. At the door this saves minutes, and your phone stays in one hand.
The Manage menu
Tap the "⚙️ Manage" («⚙️ Керування») button at the bottom of the chat. The bot shows exactly what you have access to:
- ✅ Check-in: the ticket scanner
- 🔗 Show QR («🔗 Показати QR»): the event page QR, if a guest asks "where can I read about it?"
- ⚡ Quick registration («⚡ Швидка реєстрація»): a QR that registers a guest on the spot
- 🚨 Incident («🚨 Інцидент») and 📦 Supplies («📦 Ресурси»): signals to the organizer
The menu doesn't show anything extra: if a button isn't there, you haven't been given that action.
Quick guest registration
Someone who isn't on the list has arrived, and the event is open for registration:
- "⚡ Quick registration", then choose a ticket type
- The bot sends a QR: show it to the guest on your screen
- The guest scans it with their own phone, the bot opens for them and registers them in a couple of taps
Important: the guest registers themselves, under their own account. You just show the picture. The same QR works for everyone, so you can put it on the stand.
If the guest doesn't want Telegram
Use the "+" button on the check-in screen: that's manual registration. See For hosts: a guest came without a ticket.
Bad internet
The scanner needs a connection: the ticket is checked on the server. If the network drops:
- Don't keep reloading the page: wait a few seconds.
- Switch from the venue's Wi-Fi to mobile data, it's usually more stable in a crowd.
- Write guests down on paper and check them in later: a line that moves is better than a line that stands still.
