Creating an event
How to create an event in AOA: title, description, date and place on the map, cover, tickets, capacity, waitlist, manual approval and how private the event is.
Event types in AOA
AOA supports different event formats:
- Regular event: a party, workshop, talk, masterclass, concert or networking event
- Speed Dating: a structured dating format with rounds, timers and automatic seating
- Living Library ("My book"): "book" participants share their stories, and "readers" book sessions with them
A separate format is an event series: several dates of one event, with separate ticket types for each day or a pass for all of them.
How to create an event
- Go to "Manage", then "Events"
- Tap "Create event"
- Fill in the basics: title, description, date, time and place
- Choose a location: from the AOA catalog (a partner venue) or set your own on the map
- Add a cover and photos
- Set up tickets, access and the format
- Publish the event
Main event settings
- Visibility: public (appears in the AOA catalog and on the map) or local (visible only within the venue or organization)
- Registration approval: you can require the organizer to approve each attendee manually before a ticket is issued
- Capacity: a limit on the number of attendees; when it fills up, you can turn on a waitlist
- Closing registration: automatically at a set time before the start or manually at any moment
- Group registration: allows buying several tickets at once with different attendee names
- Public guest list: optionally show who has already registered
- Theme: minimal, gradient or a seasonal animated one
- Custom registration questions: add your own fields to the form (text, a dropdown choice, a checkbox, contacts, a link, company)
Access control
AOA lets you make an event as open or as closed as you like:
- Public event: appears in the catalog and on the map
- Event by direct link: doesn't appear in the catalog, only people you share the URL with can access it
- Event for community members only: organizations with subscriptions can limit access to a specific membership level
- Event with an age requirement: see verification and restrictions
Event tickets
In short: you can set up free registration or paid tickets of several types (Early Bird, Standard, VIP, a Pass for a series, a hidden one for coupons). Detailed scenarios, dynamic pricing and pay-what-you-want are covered in Tickets and pricing.
Special formats
Speed Dating and Living Library have extra settings: pairing by gender and age, the number of rounds, timers, and the roles of "books" and "readers". It's all in Special formats.
Payments and refunds
For paid events you can set:
- Your own IBAN and recipient's full name (or use the organizer's default settings)
- Whether refunds are allowed and the deadline (how many hours before the start refunds are no longer available)
