Managing attendees
How to manage event attendees: a list with statuses and filters, invitations by email or direct add, Telegram broadcasts, the waitlist and the guest timeline.
Attendee list
Once you've created an event, you have full control over the attendee list:
- See everyone registered, with contacts and answers to custom questions
- Filter by status, ticket type and payment status
- Export the list to CSV
- Import contacts from CSV: useful for inviting your existing audience
Attendee statuses
- Registered: the attendee signed up for the event
- Pending approval: for events that require manual approval
- Paid: the ticket is paid (for paid events)
- Checked In: went through check-in on site
- Cancelled: cancelled their registration
Inviting attendees
AOA has two invitation modes:
- INVITE: the guest gets an invitation by email, confirms it and receives a ticket
- DIRECT_ADD: you add the guest straight to the registered list, with no confirmation step (handy for VIPs, speakers and partners)
You can send invitations one by one, in bulk via CSV, or to selected segments from your tag-based CRM.
Communicating with attendees
AOA lets you send messages to all attendees or to selected groups:
- Reminders before the event
- Changes to the details (time, place, program)
- A thank-you after the event and a request for feedback
- Telegram broadcasts to specific groups of recipients (registered, paid, checked in, no-shows)
Limits and the waitlist
If you've limited the number of spots and they've run out, new attendees go to the waitlist (as long as the waitlist is turned on). When someone cancels their registration, the next person in line gets access automatically.
Attendee timeline
AOA keeps a timeline for every attendee: when they registered, when they paid, when they checked in, whether they left feedback and which channel they came through (a referral, a direct link, the catalog). It gives you the full history of the interaction.
Wallet and calendar for guests
AOA automatically makes the ticket convenient for the attendee. This boosts attendance and cuts down on "I forgot about the event":
- Apple Wallet: a signed .pkpass with a QR code right after payment or registration
- Add to calendar: an .ics file for Google, Apple or Outlook, also attached automatically to the registration confirmation email
- Subscribing to the organization's calendar: a webcal feed that automatically adds all your upcoming events to the guest's calendar. Details are in Promoting events
