Attendee check-in
How to run check-in at the door: scanning QR tickets, standard and express modes, several entry points at once, on-site registration and host signals.
Why you need check-in
Check-in helps you track who actually came to the event. It matters for:
- Counting actual attendees vs registered ones
- Checking payment (whether the ticket is valid)
- Adjusting special formats (Speed Dating and Living Library only count the people who came)
- Analytics after the event
How to run check-in
- Open the event in your dashboard
- Go to the "Check-in" tab
- Scan the attendee's ticket QR code or find them by name or email
- Confirm the check-in
The ticket QR code
Every attendee gets a unique ticket QR code after registering or paying: by email, in the Telegram bot and in their profile on the platform. The QR can be shown on a phone or printed.
Scanner modes
An event has a defaultScanMode setting:
- Standard: the standard mode, with each scan confirmed
- Express: for events with a big flow of people, quick confirmation without extra screens
Real-time check-in
The check-in panel updates in real time. You see:
- How many people have already checked in
- How many are still expected
- Who with a paid ticket hasn't arrived yet
Several check-in points
For a big event, several managers can run check-in at the same time, and the data syncs in real time. You can delegate scanning access to individual members of the venue or organization team.
On-site registration
The "+" button on the check-in screen lets you register a guest who came without registering and pays in cash. The amount is recorded together with who received it: after the event you can see how much cash was collected and by whom.
Signals from check-in
Hosts can report incidents (a conflict, someone feeling unwell, a technical problem) and supplies running low, right from the bot. You'll get a Telegram message with "Take it", "Call security" and "Close" buttons. Who exactly gets notified is set up in the organization team and, for a specific event, in the scanner settings.
Special formats
For Speed Dating and Living Library, check-in is critical: the system accounts for actual attendance and adjusts rounds and sessions automatically. Read more in Special formats.
